1. Introduction

TrueSolve LLC d/b/a RentRight AI (“we,” “us,” “our”) operates RentRight AI. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our Service. By using RentRight AI, you agree to the practices described in this Policy.

2. Information We Collect

Account Information: When you create an account, we collect your first name, last name, email address, and password (hashed). Landlords may also provide a phone number.

Property and Lease Data: Landlords may upload property addresses, unit details, lease terms, rental amounts, tenant information, and related documents.

Financial Data: Rent payment information is processed through Stripe. We store payment status, amounts, and periods but do not store full card numbers or bank account details. Stripe’s privacy policy governs financial data processing.

Photos and Documents: Users may upload photos (move-in checklists, maintenance requests) and documents (leases, notices) which are stored securely in our cloud storage.

Usage Data: We collect information about how you use the Service, including pages visited, features used, and AI chat interactions.

Legal Acceptance Records: We record your acceptance of these Terms and this Privacy Policy, including timestamps, IP address, and user agent, for legal compliance purposes.

Device Information: We collect browser type, operating system, and IP address for security and analytics purposes.

3. How We Use Your Information

We use your information to:

• Provide, maintain, and improve the Service
• Process rent payments and send payment confirmations
• Send email notifications (lease reminders, maintenance alerts, late payment notices)
• Power AI features including lease drafting, photo comparison, and maintenance triage
• Provide legal information relevant to your state
• Enforce our Terms of Service and comply with legal obligations
• Analyze usage patterns to improve the Service
• Communicate important updates about the Service

We do not sell your personal information to third parties. We do not use your data for advertising purposes.

4. AI Data Processing

RentRight AI uses Anthropic’s Claude AI models to power features including the AI chat assistant, lease drafting, photo comparison, and maintenance triage. When you use AI features, relevant context (such as your portfolio data, state, and lease information) is sent to Anthropic’s API to generate responses.

We use prompt caching to improve performance and reduce costs. Anthropic’s data handling practices are governed by Anthropic’s Privacy Policy.

Tenants have no access to AI features and their data is not used in AI prompts without landlord initiation.

We retain your data for as long as your account is active. When you delete your account, we will export your data in JSON and PDF format and then permanently delete it within 30 days, except where we are required to retain it by law (such as financial transaction records).

Legal acceptance records (TOS/Privacy Policy acceptances) are retained for 7 years for legal compliance purposes, even after account deletion.

7. Data Security

We implement industry-standard security measures including:

• Row-level security (RLS) on all database tables
• Encrypted data transmission (TLS/HTTPS)
• Two-factor authentication (TOTP) support
• Strict role-based access controls (landlords cannot access other landlords’ data; tenants are scoped to their unit only)
• Regular security monitoring and audit logging

No security system is perfect. Please use a strong password and enable two-factor authentication.

8. Your Rights (GDPR / CCPA)

Depending on your location, you may have the following rights regarding your personal data:

• Access: Request a copy of your personal data
• Correction: Update inaccurate or incomplete data
• Deletion: Request deletion of your account and data
• Portability: Export your data in a machine-readable format
• Objection: Object to certain processing of your data

You can exercise these rights directly through Settings → Account, or by contacting us at privacy@truesolve.ai. We will respond within 30 days.

California residents: Under the CCPA, you have the right to know what personal information we collect, the right to delete it, and the right to opt out of sale (we do not sell personal information).

9. Email Communications

We send transactional emails necessary to provide the Service, including payment confirmations, lease reminders, maintenance notifications, and late payment alerts. These emails are sent from notifications@rentright.ai.

You can manage your notification preferences in Settings → Notifications. Note that some critical notifications (such as payment confirmations) cannot be disabled.

10. Children’s Privacy

The Service is not directed to children under 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a child, please contact us immediately.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or in-app notification. Continued use of the Service after changes constitutes acceptance. The current version and effective date are always shown at the top of this page.
